Hivepass Privacy Policy
This Privacy Policy provides information regarding our policies for the collection, use, and disclosure of personal information.
When you interact with us you may share personal information with us. For example, you will need to share personal information with us to use our service or, generally, to communicate with us. We may also obtain information about you through your use of the Hivepass application; where it is publicly available; or when it is available from other permitted sources.
The personal information that we collect about you enables us to provide the service to you and, generally, to communicate with you. We will not use or share your personal information with anyone except as described in this Privacy Policy.
Organisations on Hivepass
Users of Hivepass can choose to join one or more organisations (such as a club or association). When you choose to join an organisation on Hivepass, your relevant account data will be shared with that specific organisation. Each organisation that you join will receive a copy of your relevant account data. We will not share personal information about you that is specific to one organisation with any other organisations. We will retain a copy of your account data.
The privacy policy of each organisation that you join will apply to the personal information that each organisation collects about you, including any personal information about you that is shared with the organisation when you join the organisation using Hivepass. We recommend that you review and keep up to date about the privacy policy of each organisation you join.
Your data will not be available to any organisation on Hivepass that you have not joined. If you leave an organisation on Hivepass your personal data will be removed from that organisation’s Hivepass account, however the organisation may retain a copy of your data independent of Hivepass including transactional payment data.
If you leave all organisations on the Hivepass platform all your personal data will be removed from Hivepass, however we will retain transactional records with your unique identifier.
Organisation Integrations with Hivepass
Organisations have the option to integrate Hivepass with third party software. When an organisation enables such an integration, the organisation can share your personal information with the third party software provider. Third party software integrations are disabled by default in Hivepass and each organisation decides whether to enable and use one or more third party software.
The third party software integrations that are currently available to organisations to enable, and what data may be shared by the organisation with the third party software provider if the integration is enabled, are:
1. Mailchimp - Mailchimp is a marketing platform and can be used by organisations to communicate with its members by email. An organisation may share the following data about you with Mailchimp if it enables this integration: name, email, membership status. Mailchimp privacy policy.
2. WIX - WIX can be used by organisations to communicate with its members by email. An organisation may share the following data about you with WIX if it enables this integration: name, email, membership status. WIX privacy policy.
3. Mountain Bike New Zealand (MTBNZ) - MTBNZ affiliated organisations may turn on this integration to submit their yearly affiliation data. The organisation that completes an affiliation submission can choose the data about its members to share with MTBNZ. An organisation may share the following date about you with MTBNZ if it enables this integration: name, email. MTBNZ privacy policy.
This list is subject to change, and we recommend regularly reviewing it for updates. We also recommend that you review and keep up to date with the privacy policy of each third party software provider that an organisation you have joined integrates with.
Third Party Service Providers
We rely on and use third party services to operate our business and to deliver our service. We therefore may need to share your personal information with those third party service providers for our legitimate business purposes and to deliver our service.

Personal Information
We may collect personal information from or about you, including: name, email address, phone number, address, age, gender; emergency contact information; billing and purchase information; similar information about member(s) of your family; and your memberships with organisations. Some information may be requested from you that is optional for you to provide such as: gender, phone number, address and emergency contact information.
Waivers
If a waiver is required by an organisation you are a member of and you are a child then the organisation may require information about your guardian.
This information is required by the organisations that use Hivepass if you create an account with them and these organisation can choose whether to ask for this information.
If you do not provide any mandatory information we may not be able to provide our service to you.
Usage Data
We may also collect information that your browser/device/application sends whenever you visit our service or when you access our service by or through a mobile device ("Usage Data").
When you access our service with a computer,this Usage Data may include your computer's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers and other diagnostic data.
When you access our service with a mobile device, this Usage Data may include the type of mobile device you use, your mobile device unique ID, the IP address of your mobile device, your mobile operating system, browser type, browser version, unique device identifiers and other diagnostic data.
We will not link this usage data to your personal profile so it will remain anonymous.
Location Data
We may use and store information about your location if you give us permission to do so ("Location Data"). We use this data to provide location-based features, such as organisations near you, event recommendations and navigation to trails, and to improve and customize our service. You can enable or disable location services when you use our service at any time by way of your device settings.
Data Security
We value your trust in providing us with your personal information, thus we are striving to use commercially reasonable means of protecting it. All data communication is encrypted over https. We restrict access to data to those with a valid operational need which includes Hivepass staff and contractors. Please remember that no method of transmission over the Internet, or method of electronic storage is 100% secure and reliable, and we cannot guarantee its absolute security.
Use of Personal Information
Hivepass uses personal information for various purposes including to:
Provide, maintain and improve our services
Provide you with information about our services and changes to our services
Provide you and organisations with customer support
Monitor the usage of our services
Detect, prevent and address technical issues
Provide your data to the organisations that you join
Conduct research and development activities
We may share aggregated, anonymized data with third parties, including organisations that you have not joined, for research, analysis, and service improvement purposes.
We may process your personal information under one or more of the following legal bases: your consent, where you have provided this; contract (where we provide services to you); legitimate interest to promote our business and develop our customer relationships; or legal obligation, where we have a legal requirement to do so.

This service may contain links to other sites. If you click on a third-party link, you will be directed to that site. Note that these external sites are not operated by Hivepass. Therefore, we recommend you to review the privacy policy of the third-party prior to sharing any personal information with them. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.
Cookies
Cookies are files with a small amount of data that are commonly used as anonymous unique identifiers. These are sent to your browser from the websites that you visit and are stored on your device's internal memory.
This service does not currently use cookies. However, the Hivepass application may use third party code and libraries that use cookies to collect information and improve their services.
You have the option to know when a cookie is being sent to your device and either accept or refuse the cookie. If you choose to refuse cookies, you may not be able to use some portions of our or third-party services.
Changes to this Privacy Policy
We may update our Privacy Policy from time to time. We advise you to review our Privacy Policy periodically for any changes. By continuing to use our service after changes are posted, you agree to the updated Privacy Policy. Our Privacy Policy is incorporated into and forms part of our agreement with you.
